AI Tools for a New Business: Where a Chatbot Fits

The AI tools worth using when you start a business, which jobs they really save time on, and when an AI chatbot for customer enquiries is worth adding.

By Mossab Irbaiyne•

When you start a business, you are the sales team, the admin team and customer service at once. AI tools can take a real share of that work, but only if you pick the ones that match the jobs eating your week.

Here is how I would think about it for a new business, in the order most founders need it.

1. A General AI Assistant for Writing and Admin

Tools like ChatGPT, Claude and Gemini are the most useful first step. Use them to:

  • draft emails, quotes and proposals
  • turn rough notes into a clear service description
  • write first versions of your website pages and social posts
  • summarise long documents and contracts before you read them properly

Rule of thumb: use them for first drafts, then edit in your own words. Customers can tell when every sentence sounds the same.

2. Accounting and Invoicing With Automation Built In

Most modern accounting tools already use automation to match bank transactions, chase unpaid invoices and prepare figures for your accountant. For a new business, this saves hours every month and reduces mistakes. Pick one your accountant is happy to work with.

3. Scheduling and Booking

If customers book time with you, an online booking tool removes the back-and-forth of "does Tuesday work?". Many include reminders, which cut no-shows. For simple solo businesses, an off-the-shelf scheduler is usually the right first choice.

4. Customer Enquiries: Where an AI Chatbot Fits

This is the one most new businesses add too late. Early on, every enquiry matters, and they arrive at the worst moments: while you are with a client, driving, or asleep.

An AI chatbot for your website and WhatsApp answers those messages straight away, from information you approve (prices, hours, areas, services), asks the questions you would ask, and passes you a ready-made lead.

It is worth it for a new business when:

  • you already get enquiries, but miss some or reply hours later
  • people keep asking the same five questions
  • many messages arrive in the evening or at weekends

It is not worth it yet when you get almost no enquiries at all. In that case, spend your time and money on getting found first (a clear website, a Google Business Profile, reviews), then add a chatbot when messages start to pile up.

5. Design and Content Tools

AI image and design tools help you make social graphics, simple brand assets and mock-ups quickly. They are great for volume, but invest in a proper logo and brand basics from a person if your business depends on looking premium.

How to Choose Without Wasting Money

  • Start with the job, not the tool. Write down the three tasks that eat most of your week, then look for tools for those.
  • One tool at a time. Give each new tool two weeks before adding another.
  • Check the monthly total. Small subscriptions add up quickly. Cancel anything you have not used in a month.
  • Keep a human in the loop for anything a customer sees.

Getting a Chatbot Without the Setup Work

Self-serve chatbot tools exist, but setting one up properly (writing its knowledge, testing it and keeping it right) takes time a new founder rarely has. That is why I offer both options:

  • DIY plans from £49 a month (opening soon), if you want to build it yourself.
  • Managed from £199 a month, where I build, train, install and review it every month for you.

See what each includes on the AI chatbots page, or get a free plan and I will tell you honestly whether your business needs one yet.
